Rising Minds (Erica Harris) is committed to protecting your privacy. This policy explains what personal and health information we collect, how we use and safeguard it, and your rights. We handle your information in keeping with applicable Canadian privacy law and the standards of the BC Association of Clinical Counsellors (BCACC) and the College of Registered Psychotherapists of Ontario (CRPO).
Information we collect
We collect the contact details you provide (such as name, email and phone), your booking information, and the personal and health information you share during intake and sessions — together, your clinical record. For your safety, we also ask for your home address and the address you are attending from during each session (if different) — so that, in the rare event of an emergency during an online session, help can reach you quickly. We may also collect limited website-usage data (see Cookies & analytics).
How we use your information
We use your information to provide and coordinate your care, to schedule and deliver sessions, to process payment and issue receipts, to communicate with you, and to meet our professional and legal record-keeping obligations.
Your consent
We collect and use your information with your consent. You may withdraw consent at any time, subject to the legal and professional record-keeping requirements that apply to a regulated practice.
The platforms we use
Scheduling and sessions are provided through NousTalk, a secure practice-management platform, and payments may be processed by a third-party payment provider. These providers process information on our behalf under their own security and privacy commitments.
Storage & security
Your information is stored securely using encryption and access controls, and sessions are conducted over a secure platform. We take reasonable steps to protect your information against loss, theft, and unauthorized access or disclosure.
Privacy is a shared responsibility. Because we meet in your space and on your own device, we ask that you help protect it on your side too — use a private, secure internet connection, keep an up-to-date firewall and current anti-virus and anti-malware software running, and attend from a device only you can access. It helps keep what is shared between us exactly that.
Confidentiality & its limits
Your information is kept confidential except where disclosure is required or permitted by law — including a risk of serious harm to you or others, suspected abuse or neglect of a child or vulnerable adult, and court orders or subpoenas.
How long we keep your information
Clinical records are retained for the period required by the applicable regulatory college (BCACC and/or CRPO), after which they are securely destroyed.
Your rights
You may request access to, or correction of, your personal information, subject to any legal limits. To make a request, contact us through our Contact page.
Cookies & website analytics
Our website may use cookies and basic analytics to understand how the site is used and to improve it. This information is not used to identify you personally. You can control cookies through your browser settings.
Minors
Where services are provided to a minor, a parent or legal guardian’s involvement and consent generally apply. However, under Canadian law a “mature minor” — a young person assessed as capable of understanding the nature and consequences of their care — may consent to counselling on their own, without parental consent. In all cases, information is handled in accordance with the applicable regulatory standards.
Privacy breaches
In the event of a privacy breach that poses a real risk of significant harm, we will notify affected individuals and the appropriate authorities as required by law.
Changes to this policy
We may update this policy from time to time. The “last updated” date above reflects the most recent version.
